Tenant Audit User
As a Tenant Audit User, you are given read-only access across your entire organization in kolum. This special role exists to help your company maintain high standards for data accuracy, transparency, and readiness for internal or external audits — without giving editing rights to your auditors.
When you assign the Tenant Audit User role, you can provide this access temporarily during an internal or external audit period. This ensures auditors can verify your workflows, emissions data, supplier connections, articles, imports, and reports without being able to add, edit, or delete any information.
Who Typically Uses This Role
The Tenant Audit User role is designed for:
Internal auditors who need to check that all data across companies and facilities is accurate and up to date.
External auditors who require secure read-only access during an official audit period.
Compliance or legal teams who need to verify that reporting processes meet required standards.
What a Tenant Audit User Can See
As a Tenant Audit User, you can:
View all companies under your tenant to check that company names, EORI numbers, addresses, and other details are complete and correct.
Access all production facilities to verify that each is linked correctly to its company, has valid country codes, and is ready for reporting.
See all articles to confirm that reference numbers, CN codes, and linked suppliers are correctly recorded.
Review import records to check that imports are linked to the correct articles, suppliers, and production facilities.
Check supplier records to verify that supplier invitations, identifiers, and linked emissions data are all consistent.
Look at emissions data for direct and indirect emissions, including calculation details and any manual entries.
View CBAM reports generated by your team to check that they cover all articles and imports and are ready for submission.
Track platform usage by seeing when users have made updates or submitted reports.
What a Tenant Audit User Cannot Do
A Tenant Audit User cannot:
Add or edit company, facility, article, or supplier records.
Delete any data.
Send invitations or update user roles.
Submit reports to the EU Commission.
Make any changes that would affect your reporting workflows.
When to Use This Role
During an internal audit, assign this role to your internal audit team to verify that all workflows in kolum are being followed correctly.
During an external audit, assign this role to external auditors to give them controlled access without allowing any accidental edits.
For regular checks, your compliance or legal team can also use this role at any time to perform periodic reviews of your data and processes.
