Bulk Upload Production Facilities

You can add multiple production facilities at once using the bulk upload feature. This is helpful when you need to set up several facilities quickly, ensuring your workspace stays organised and your reporting and emissions data entry can continue smoothly without manual entry for each facility. You will use a structured Excel template to add each facility's details, ensuring they link correctly to your companies and include accurate address data for consistency and future tracking.

How to Upload Production Facilities in Bulk

1. Go to the Production Facilities page in the left sidebar.

2. Click Upload file in the top-right corner.

3. Download the Sample Excel File shown in the upload window.

4. Fill in the Excel file with your production facility details:

   • Name (mandatory).

   • Company EORI Number (mandatory): must match a company you have already added to kolum. If the EORI number does not match, the upload will fail.

   • Use Company Address:

     • If set to TRUE, leave the address fields empty. The facility will automatically use the address of the connected company.

     • If set to FALSE, you must fill in the facility's address:

       • Street name and street number

       • Postal code and city (mandatory)

       • Country (mandatory, always use the two-letter country code, e.g., DE, FR, IT).

       • Optional: Post office box, UN/LOCODE, latitude, longitude.

   • Do not leave any mandatory fields empty, as this will cause an error during upload.

5. Save the completed Excel file.

6. Return to the upload window in kolum and select your file.

7. Click Upload file to start the validation and upload process.

Important to Note

• The EORI number must exactly match an existing company already added in kolum. If it does not, you will see a validation error, and the row will not upload.

• If Use Company Address is FALSE, ensure all address fields are fully completed, including City and Country (in two-letter code format).

• Do not use full country names; using anything other than two-letter codes will result in an error.

• Ensure no mandatory fields are left empty to prevent upload failures.

• Double-check your file before uploading to avoid unnecessary corrections.

After Upload

Once the upload is successful, your production facilities will appear immediately in the Production Facilities list. You can then start using them for emissions data entry, linking with articles, and managing your facility data in kolum.
