Bulk upload Suppliers Production Facilities

You can bulk upload supplier production facilities in kolum using the provided Excel template to save time and ensure consistency across your supplier data.

Uploading production facilities in bulk is efficient when working with many suppliers and helps ensure your emissions calculations and reporting remain accurate.

Before You Start

• Ensure all suppliers are already created in kolum.

• You will need the Supplier Identifiers of these suppliers to fill the Excel upload file correctly.

• The Supplier Identifier in your upload file must match exactly with an existing supplier in kolum for the upload to be successful.

How to Bulk Upload Supplier Production Facilities

1. Navigate to the Suppliers Page

   • From the sidebar, go to Suppliers and select the supplier you wish to add facilities for, or prepare for bulk upload across suppliers.

2. Download the Excel Template

   • Click “Upload production facilities file” and download the sample Excel template.

   • This ensures your data aligns with the required structure.

3. Fill in the Template

   • Complete the following columns:

     • Name (mandatory): Facility name.

     • Identifier (optional): Your internal identifier for the facility; leave empty if not used.

     • Supplier Identifier (mandatory): Must match the existing supplier’s identifier in kolum.

     • Use Company Address:

       • Enter TRUE to use the supplier’s company address (skip address fields).

       • Enter FALSE if using a different address for the facility.

     • If Use Company Address = FALSE, fill:

       • Street name and number (mandatory).

       • Post office box (Optional).

       • Postal code, city, country (mandatory).

       • UN/LOCODE, latitude, longitude (optional).

   Important: If you enter FALSE under “Use Company Address,” ensure you provide the facility’s address information. Otherwise, leave address fields empty if using the supplier’s address (TRUE).

4. Upload the File

   • Click “Select file” and choose your completed Excel file.

   • Click “Upload file”.

   • kolum will automatically validate your data:

     • It will show you if there are errors (e.g., missing postal code, mismatched supplier identifiers).

     • Correct any errors in your file and re-upload if needed.

5. Review Uploaded Facilities

   • Once uploaded, production facilities will appear under each supplier’s “Production Facilities” tab when you select the supplier from your supplier list.

   • Suppliers will also see these production facilities on their side, enabling them to provide facility-level emissions data easily.

Important to Note

• Supplier Identifier Matching: If the supplier identifier in your upload file does not match an existing supplier, the facility will not upload.

• Non-EU Supplier Facilities: Ensure postal code, city, and country fields are correctly filled for non-EU facilities when not using the company address.

• You can always edit a facility later if you need to correct details or add missing address information.

After Uploading

• Facilities will immediately be linked to the supplier and visible under the supplier’s Production Facilities list.

• These facilities will be available in emissions calculation workflows and reporting processes.

• Suppliers will see these facilities in their interface and can provide emissions data directly for the relevant facility.
